How we collect, use, and protect the information of our Scouts, families, donors, and visitors.

1.Who We Are & Scope

Sea Scout Ship 16 – The Islander ("Ship 16," "we," "us") is a California 501(c)(3) nonprofit (Tax ID 95-3887037) and a chartered unit of Scouting America (formerly the Boy Scouts of America), operating in Marina del Rey, California. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our website, submit a form, make a donation, or otherwise interact with us.

This policy applies to this website and the information we collect through it. Membership registration with Scouting America is handled through Scouting America's own systems and is governed by the Scouting America Privacy Policy.

2.Information We Collect

Information you provide directly

  • Contact form: name, email address, phone number (optional), subject, and your message.
  • Donations: donor name, email address, donation amount, donation type, optional message, and vehicle/boat/RV details when applicable. Payments are processed by third-party payment providers (e.g., PayPal, Zelle, Venmo); we do not store full payment card or bank account numbers.
  • Membership inquiries: information about a prospective Scout and parent/guardian contact details you choose to share with us.
  • Email correspondence: anything you include when you email us at islander@ship16.org.

Information collected automatically

Our website uses only strictly necessary technologies (see the Cookies section below) to keep the site secure and functioning. We do not use advertising trackers or third-party analytics cookies. Our hosting provider may log standard technical data such as IP address, browser type, and pages requested for security and reliability purposes.

3.How We Use Information

  • Respond to your questions, meeting inquiries, and membership interest.
  • Process, acknowledge, and receipt your donations, including tax-deductibility acknowledgments.
  • Recognize donors on our website (only with permission; you may donate anonymously).
  • Communicate Ship news, events, and cruise information to members and families.
  • Maintain the safety and security of our website and our program.
  • Comply with legal obligations, Scouting America policies, and our nonprofit reporting requirements.

4.How We Share Information

We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising as those terms are defined under California law. We share information only in these limited circumstances:

  • Ship leadership: adult leaders, the Ship Committee, and the Purser who need it to run the program.
  • Scouting America and the Western Los Angeles County Council: for youth and adult registration, Youth Protection, advancement, and insurance purposes.
  • Service providers: our website host, email delivery, and payment processors, who may only use the data to provide services to us.
  • Legal requirements: when required by law, subpoena, or to protect the safety of youth, volunteers, or others.

5.Youth Privacy & Parental Rights

Sea Scouts serves young people ages 14–20. We take youth privacy and Scouting America's Youth Protection standards seriously.

  • This website is intended for use by adults and by youth 14 and older. We do not knowingly collect personal information online from children under 13. If you believe a child under 13 has submitted information to us, contact us and we will delete it promptly, consistent with the Children's Online Privacy Protection Act (COPPA).
  • For minor members, we collect personal information (health forms, permission slips, contact details) only from, or with the consent of, a parent or legal guardian, and only as required for participation.
  • Photos and videos of youth are used on our website or social media only with parent/guardian permission, in keeping with Scouting America guidelines. Parents may withdraw permission at any time.
  • Parents and guardians may review, correct, or request deletion of their child's information by contacting us.
  • All adult leaders complete Scouting America Youth Protection Training and follow two-deep leadership and digital-communication rules.

6.Cookies & Similar Technologies

This site uses strictly necessary cookies only. These are required for the website to function and cannot be switched off. We do not use analytics, advertising, or social-media tracking cookies.

Embedded content (such as Google Maps or payment links) may set their own cookies when you interact with it, governed by those providers' policies. You can review your acknowledgment any time via the "Cookie Settings" link in the footer, or clear cookies in your browser settings.

7.Your California Privacy Rights (CCPA/CPRA)

As a nonprofit, Ship 16 is generally not a "business" subject to the California Consumer Privacy Act. We nonetheless honor the following rights for all visitors as a matter of policy:

  • Right to know: request the categories and specific pieces of personal information we hold about you.
  • Right to delete: request that we delete your personal information, subject to legal and record-keeping exceptions (for example, donation records required for tax purposes).
  • Right to correct: ask us to fix inaccurate information.
  • Right to opt out of sale/sharing: we do not sell or share personal information, so no opt-out is needed.
  • Right to limit use of sensitive personal information: we use sensitive information (such as youth health forms) only for program participation and safety.
  • Right to non-discrimination: we will never treat you differently for exercising these rights.

To exercise any right, email islander@ship16.org with "Privacy Request" in the subject line. We will verify your identity (and, for youth data, your status as parent or guardian) and respond within 45 days. You may designate an authorized agent to make a request on your behalf.

8.Email Communications

When you submit a form we send a confirmation to the email address you provide and notify Ship leadership. Members and families may receive program emails about meetings, cruises, and events. You may opt out of non-essential email at any time by replying "unsubscribe" or contacting us; we will still send transactional messages such as donation receipts and safety notices.

9.Data Retention

  • Contact form submissions: retained until the inquiry is resolved, then up to 2 years.
  • Donation records: retained for at least 7 years as required for nonprofit tax and audit purposes.
  • Member and leader records: retained during membership and as required by Scouting America and insurance requirements thereafter.
  • We delete or anonymize information when it is no longer needed for these purposes.

10.How We Protect Information

We use encrypted connections (HTTPS), role-based access so only authorized leaders can view submissions and member records, and reputable hosting and payment providers. No method of transmission or storage is completely secure; if we learn of a breach affecting your information, we will notify you as required by California law.

11.Third-Party Links

Our site links to Facebook, Scouting America, payment platforms, and mapping services. Those sites have their own privacy practices, and we encourage you to review their policies. We are not responsible for the content or privacy practices of third-party websites.

12.Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be posted here, and where appropriate we will notify members and families by email.
